Executive Assistant/PA
We have a fantastic opportunity for a vibrant and experienced Executive Assistant/Executive PA to join the team to enable the leadership team. Our client is a Technology company based in London, specialised in secure digital transactions with a strong R&D component, with implementations of its technological solutions in first level organisations and large corporations across Europe.
The experienced Executive Assistant will join the Executive Team to support the Chief Executive Officer. Your previous experience and excellent communication skills will enable you to provide professional secretarial and administrative support to the CEO and manage stakeholders across different divisions and their offices across Europe.
This is an exciting and challenging role which will require you to thrive in a fast-paced, forward-thinking environment whilst demonstrating a complete and varied range of skills that fully support the CEO to strategically develop and lead the organisation.
Salary: £33,000 – £35,000 (other benefits available)
Work Model: Hybrid (3 days onsite), Flexible working hours
Key Responsibilities
· International travel organisation including complex itineraries, transfers, accommodation, and visa requirements.
· Extensive itinerary and diary management across multiple time zones.
· Communicate with executive team, schedule executive meetings, and other meetings with clients and business guests
· Effectively managing multiple email inboxes ensuring all emails are actioned in a timely manner e.g., prioritising, highlighting issues for attention and responding where necessary.
· Organising events, conferences and meetings with internal team, clients, and external contacts; ensuring rooms are booked, any pre-reads prepared in advance and meetings take place on time; including welcome meetings, inductions, catch ups with new joiners and key team members.
· Creating, compiling, and preparing reports based on previous market analysis and other similar information.
· Managing CRM and filing internal information systems. Controlling Salesforce usage of the sales department.
· Completion of timesheets and expenses. Working with the Finance team on information requests such as providing support for expenditure and complying with group policies.
· Minute taking for key meetings and tracking of deliverables.
· Completing some corporate governance reporting and conducting extensive research on different subjects.
· Translating documents/articles, managing social media channels, and dealing with personal administrative matters.
Key Requirements
· Previous Executive Assistant/PA experience.
· Professional level proficiency in English, at least C2 level in Spanish is required, and basic German is desirable, but not required.
· A strong sense of ownership, personal accountability, attention to details, and commitment.
· Exceptional coordination and time management skills. Being able to multitask and prioritise your workload with flexibility where needed.
· Ability to handle confidential and highly sensitive material with maturity and integrity.
· Strong written, verbal, and interpersonal communication skills in both English and Spanish.
· Being able to master Microsoft 365 solutions, virtual meetings, presentation tools and smart-tech.
